Raleigh Antique Bottle Festival - Dealer Contract

Place: outdoors beside Flea Market on NC State Fairgrounds in Raleigh NC

The undersigned below agrees to the following terms:

  1. Liability: The dealer agrees to be solely responsible for his contract and all acts of his agents and employees, and releases the Raleigh Bottle Club and the NC State Fairgrounds from all claims for theft and damage to person or property from any cause whatsoever during the occupancy of dealer on the premises. Note that the Fairgrounds does provide security, but they will be pretty busy on the show day. With the big crowd expected, be sure to keep an eye on your tables and be available to help prospective buyers.

  2. Table Reservation Deadline: To be guaranteed a reserved table for this event, your completed application and payment must be received by the Show Chairman by the Wednesday preceeding the event (i.e. by Wed Oct 31 for Nov 3 event, or by Wed Nov 7 if Nov 10 rain date needed). A few tables may be available the day of the show, but there is no way to guarantee you will be able to get one. So reserve early, and you can always cancel if necessary.

  3. Cancellation policy: You may cancel (in writing or via a phone message) up to two weeks prior to the festival date. If the Nov 3 date is rained out, you may cancel by Nov 6; if you don't cancel, your reservation is automatically good for the Nov 10 date. If the Nov 10 date is rained out too, you will automatically receive a refund. Weather is typically good this time of the year so we don't expect any problems, but it helps to be prepared.

  4. Table assignments: The Show Chairman will assign all table spaces. Every attempt will be made to co-locate you with other dealers upon request (which is helpful so you can take turns watching out for each other's table while the other shops). If you reserve early, co-locating should not be a problem.

  5. Rain Date Status: To insure the best possible buying crowd, we reserve the right to reschedule this event if Nov 3 is predicted to have inclement weather. The status of whether the event will be held or not on Nov 3 will be posted by noon Nov 2. If the Nov 10 date is also predicted as being inclement weather, then the festival will be cancelled. The status of whether the event will be held or not on Nov 10 will be posted by noon Nov 9. The posted status for Nov 3 or 10 can be checked in two ways:
    1. By visiting our club web page: www.antiquebottles.com/raleigh/. Be sure to click the "Refresh" button on your web browser to see the latest updates.
    2. By calling (919 789-4545 and listening to the recorded message.

  6. Refund: Should the Raleigh Bottle Club be unable to hold the show at the location and/or on the date stated, due to any cause whatsoever, the dealer waives the right to any claim for damages or compensations except that the rental fee paid for this space shall be refunded in full.

  7. Valid Sale items: While our emphasis is on antique bottles, any table top antique, advertising, or collectible will be allowed for this Festival. All items displayed for sale must be clearly marked with the price. Reproductions, repaired items, artificially coated (e.g. oiled) items, and articially colored items must be so indicated on the sale item.

  8. Table Surroundings: Each dealer will be provided one chair, so bring extra chairs if you will need them. Any furniture besides your table and chair(s) must be approved in advance by the Show Chairman. Bring a 50 foot extension cord if you need access to the nearby power outlets. For safey and insurance purposes, no objects, sale boxes, stands, or the like are permitted in the aisles in front of sales tables.

  9. Food/Drugs/Alcohol: No drugs or alcoholic beverages may be brought into the festival area or anywhere else on the premises of the NC State Fairgrounds. Food and drinks may be brought in for personal consumption. Concessions will be available, including a restaurant in the Graham Building.

  10. NC State Sales Tax: Info about collecting sales tax will be provided in your dealer package on the day of the event. Whether we actually need to report sales tax for this type of event is debatable, but be prepared. If you already have a NC Sales Tax ID number, bring it. If you don�t, you may be required to fill out a application for the Fairgrounds officials.

  11. Assistants/Badges: Each dealer is allowed one assistant, regardless of the number of tables contracted. Both dealer and assistant must wear their name badges for the duration of the festival. Only people wearing official name badges should be allowed behind dealer tables.

  12. Setup time: This is a one day event, so the earliest that dealers can setup is 6:00am Sat morning (day of the show). Between 6:00-7:00am, dealers must use the Trinity Road entrance (see map). After 7:00am, all fairground entrances will be open so you can expect the public to start coming in around 7:00am (even though the "official" public opening time for Flea Market is 9:00am. There is no admission for the fairgrounds so we have no control over when people come in (and lots of them will come that weekend). There is no problem with setting up late.

  13. Dealer Packages: For dealers that prepaid for their table(s), your dealer package can be picked up at the Club Table (table #41 on map) anytime starting 6:00am on the day of the event.

  14. Dealer Unload/Load: The festival area is surrounded by roads on 3 sides, so unloading and loading will be very convenient. You are allowed to park on the curb by the festival area while loading and unloading, but you must then move your car to the nearby parking areas. Please cooperate in moving your car out of the way quickly to avoid blocking any other dealers. The fairgrounds will tow unattended cars in this area. There are a lot of people walking on these roads, so please drive slowly and use caution.

  15. Extra Tables: A few extra dealer tables may be available on a first-come basis for those who didn't reserve one. But those people must wait for our pre-paid dealers to be processed first.

  16. Break-down time: The fairgrounds will close to the public at 5:00pm and our tables and chairs are scheduled to be picked up at 5:30pm. Please have your tables cleared by 5:15pm so we can start stacking tables and chairs. There is no penalty for leaving early, but the crowds usually go on past 3:00pm.

  17. Subleasing:: Subleasing of tables is prohibited.
